Rakib has recently joined a renowned company. Everything was going well. One day, his reporting boss asked him to write an application seeking permission for a work. He started to write the application and he completed it. Then went to the boss and submitted the application. His boss became angry on him and insulted him a bit as he does not know the process of writing an application. Then he took an oath himself to learn the proper process of writing an application.
Application, also known as formal letter is a very important thing for the students, for the employees and also for different types of people. The purpose of the application or the formal letter is to seeking permission for things. Though this one is very important for all sorts of people, many people do not know the process of writing an application. In fact, many people do not know the parts of an application. Let’s see how many parts does an application have and how these parts are decorated. There are 2 formats of application, one is old and another is new. They are also known as British style and American Style. American style of the application is very popular and well decorated. So, we will learn about the American style of writing an application.
The first characteristic of this type of application is, every single line of the application will be started from the left-side margin. Do not forget to keep a margin on the page you are writing the application.
There will be a date (on which date the application is written) at the top of the application. This is an important part of an application.
Just after the date, there comes the addressee, to whom the application is being written. A full name of the concern person should be given there. If you do not know the name of the person, use the designation and the address of the addressee.
Then comes one of the most important parts of an application, the subject. A subject of an application matters. Because, most often a reader read the subject of an application. If the subject does not seem that much important, a reader may ignore it. So, while writing an application, the subject must be chosen carefully.
Beneath the subject, you need to put the salutation. Salutation means the ways of addressing the addressee. You need to be tricky while you write the salutation. In most cases it is found that an applicant writes dear sir/honorable sir/respected sir. If the addressee is a female person, this salutation will not be an appropriate one. So, at first you need to know about the addressee if the person is male or female. Now, if you face this situation that you don’t know about the addressee, ignore the traditional sir/madam theory. Write, dear concern/honorable concern/respected concern. Now you are formal and there will be no confusion or problem about the salutation.
Then you have reached the vital part of the application, body of the application. The body of an application has 03 (three) parts. The introduction, body and the closing. In the introduction, you have to put your introductory information formally. Then you will write the detailed information in the body of the application. The body should be detailed, clear, specific and informative, so that the person you are writing does not need to ask you for any further clarification. In the closing you sometime will write – “I, therefore, ……” Please take care of the spelling of the word therefore and don’t forget to put a comma before and after the word. The body of the application is ended with a closing where you seek the attention of the addressee again and also seek for the approval of the application.
In the end of the application, you have to write the signature, which holds the information of the applicant. There you have to give your detailed information. Thus, you complete writing an application.
Writing an application is not that hard if you know the part of the application and if you know the rules of writing an application. As this document is and will be necessary for every single person, everyone should know the process of writing an application. This will help you when you are a student and also when you are an employee.
